Accounting integrations for self storage: automate your financial administration
For many self storage operators, financial administration is a time-consuming task. Drawing up invoices, tracking payments, preparing VAT returns — it takes hours every week. With the right accounting integration, you can fully automate this process.
The problem with manual administration
Many self storage businesses still work with separate systems: a spreadsheet for bookings, a standalone accounting package for invoices, and manual payment checks. This leads to double work, errors, and lost time. With the right solutions, this problem becomes a thing of the past.
How does an accounting integration work?
An accounting integration automatically synchronises data between your management system and your accounting software. In MyYounit, this means:
- Automatic invoicing – Invoices are automatically generated based on bookings and contracts.
- Payment matching – Incoming payments via Mollie are automatically linked to the correct invoice.
- Debtor management – Outstanding invoices are automatically synchronised with your accounting package.
- VAT calculation – Correct VAT calculation and registration for both domestic and international customers.
Supported accounting packages
MyYounit offers standard integrations with the most widely used accounting packages in the Netherlands and Belgium:
- Exact Online – Fully automated synchronisation of invoices, payments and contacts.
- Twinfield – Real-time integration with Wolters Kluwer's Twinfield for seamless bookkeeping.
- Snelstart – Ideal for smaller self storage businesses that work with Snelstart.
- Wefact – Integration for invoicing and debtor management via Wefact.
Result: more time, fewer errors
Automatic accounting integrations save operators a significant amount of time on administrative work and are a key component of full self storage automation. In addition, the number of errors drops significantly, as manual data entry becomes unnecessary. Your accountant always receives accurate and up-to-date figures.

Which accounting package suits your situation?
Choosing between Exact Online, Twinfield, Snelstart or Wefact is often determined by the scale of your organisation and the preferences of your accountant. A short orientation:
Snelstart works well for sole traders and small businesses with one or two locations. Simple interface, affordable, less comfortable for accountants when handling large volumes.
Wefact focuses on invoicing and debtor management. Strong for businesses sending many recurring invoices and seeking simple automation. Limited in true accounting functions — often combined with another package.
Twinfield (Wolters Kluwer) is the standard for accountancy firms. If your accountant works with Twinfield or wants to serve multiple clients via one package, this is often the best choice.
Exact Online is broadly applicable for SMEs and larger businesses. Strong on reporting, integrations with other business software and multi-location support. The obvious choice for businesses with multiple self storage sites.
What does the integration synchronise exactly?
A well-configured accounting integration is more than just "send invoice". With MyYounit we synchronise end-to-end:
- Customer and contact data: new tenants are automatically created as debtors, with the correct VAT status (business/consumer, NL/EU/non-EU).
- Sales invoices: automatic monthly invoice lines per tenant, including partial months and any discounts.
- Bank entries: payments via Mollie or SEPA direct debit are matched and automatically posted against the correct invoice.
- Credit notes: early termination or corrections are automatically created and posted.
- VAT codes: correct application per type of service (storage, sales of boxes/locks, possibly service fees).
- General ledger accounts: revenue is posted to the correct ledger account by type (rent, sales, one-off).
Common accounting mistakes in self storage
Without good integration, the same mistakes typically slip in:
Partial months not handled correctly: if a tenant starts on the 15th, you bill half a month. Manually this is often forgotten or miscalculated. Automated, never.
Incorrect VAT for foreign customers: self storage counts as a service that follows the place of establishment — a common error for business customers from other EU countries.
Mismatches between collection and invoice: when a tenant partially pays or receives a correction, the bookkeeping is no longer consistent. Automated matching prevents this.
Insufficient location-level segmentation: operators with multiple locations want to report revenue and costs per location. Without good integration this requires manual work.
PEPPOL and e-invoicing
From 2026 onwards, PEPPOL e-invoices become mandatory for business transactions with the Dutch government and large parts of the EU. For self storage businesses serving business customers, this is an important consideration. MyYounit supports PEPPOL formats out of the box. What does it cost?
At MyYounit, accounting integrations are part of the standard package — no extra cost per integration. Of course you still pay for the licence of the accounting package itself (typically 25-150 euros per month for SME packages). The savings on administrative time and accountancy fees are however significant: at an average location this saves considerably on administrative hours and on accountancy costs, because data is delivered already structured.
